- Documents must be in black ink on white paper and must be legible and capable of being reproduced photographically
- Paper size at least 8 1/2" x 11", but no larger than 8 1/2" x 14"
- Documents must have at least a 1/2" margin along sides
- The right-hand 5" of the top 2 1/2" of the first page is for recording information
- The left-hand 3 1/2" of the top 2 1/2" of the first page is for the name of the Requesting party and the return address
- Document titles must be identified on the first page immediately below 2 1/2" reserved space
- Names of the parties to be indexed must be contained in the document
- Documents referencing land must include a legal description
- Exhibits and riders must be clearly identified as such
- Documents must contain original signatures or be a certified copy of the original
- Names must be typed or printed near signatures and business names
- Documents affecting title to real property must be notarized
- A document which modifies or releases a previously recorded document shall state the name of all parties affected
- A document which modifies or releases a previously recorded document shall state the recorder identification number or recorder's book and page of the document being modified or released
- Documents transferring title to real property must contain the assessor parcel number, the tax rate area of the property, and a Documentary Transfer Tax declaration
- A completed and signed Preliminary Change of Ownership form must accompany any document transferring title to real property
- Depending on the type of document, additional requirements may apply. Nonconforming documents may be returned unrecorded or may be charged additional fees
